STUDIO POLICIES

Below you will find studio policies relating to: Participation, Bookings, Memberships and Privacy.

PARTICIPATION POLICIES

General participation policies


  • Clients agree to provide accurate personal information, especially with regard to medical conditions or physical injury.

​

  • Clients take personal responsibility for being fit to exercise, getting medical advice where necessary.

​

  • Clients should not work through pain during any class, and should communicate discomfort to the teacher straight away.

​

  • While the teacher aims to guide and protect each person, clients understand and accept the risk associated with any exercise programme.

​

  • Clients must communicate with the studio in writing about any injury sustained during a class, which will be logged in our accident records.

​

  • Among other types of guidance, Pilates includes tactile direction.  If this is uncomfortable for you in any way, please let us know prior to your class.

​

Pregnancy participation policies

​

  • New clients who are pregnant at the point of enrolling need to be at the start of their second trimester to participate.

​

  • Pregnant clients take full responsibility for being fit enough to exercise, including discussing this with their health care team throughout all stages of their pregnancy.

​

  • Pregnant clients are responsible for sharing all relevant information relating to their current and past pregnancy/ies, and postpartum recovery.

​

  • Pregnant clients are responsible for setting individual limits on what is appropriate during any class, on any given day.​

​

Studio etiquette

​

  • No shoes are worn in the studio. Please remove them on entering.

​​​

  • If you arrive late for your session, please note that your class will end at the booked end time for that class.

BOOKING POLICIES

Class bookings and payments

​

  • All classes are booked online via our website or app.

​

  • These are paid for in full at the time of booking.

 

Rescheduling or cancelling classes

​

  • Classes can be rescheduled or cancelled by the client any time up to 24 hours prior to the booked class.

​

  • This is done online in your profile area on the website, or via the app.

​

Refunds and credits​

​

  • Single class purchases cancelled at least 24 hours prior to the booked class will receive a full refund.​

​

  • Classes purchased with a payment package cancelled at least 24 hours prior to the booked class will automatically be credited back to your current package for future use.

​

  • Membership class cancellations receive no refunds (see full details under membership policies below).

Communication

​

MEMBERSHIP POLICIES

Memberships allow you to:

​

  • Reserve reoccurring weekly class times indefinitely

  • Move your usual class times when done 24 hours prior to a session online or via the app

  • Evenly spread the cost of classes into monthly payments

  • Cancel your plan at any time online or via the app

​

They are calculated based on:

​

  • Our lowest per class rate

  • Classes being offered 46 weeks of the year

​

No refunds will be issued for memberships. This includes the following scenarios:

​

  • Where clients are unable to attend a class

  • Where clients fail to move a class prior to 24 hours before that class

  • Where no suitable alternative class time is available in the bookings diary at that time

  • Where memberships are cancelled earlier than the billing renewal date

PRIVACY STATEMENT

Your personal data

 

  • Personal data refers to that which we obtain from you as part of your enquiry or enrolment process, including your name and contact details. We also ask for additional data such as date of birth and any relevant health concerns, in order to tailor, maintain and improve our services to you. This includes ensuring that you receive information on your bookings, class reminders and cancellations.

How we store your data

​

  • Your personal data is stored securely within Wix (our website provider), Google (our email provider) and Box (our document management system), to allow us to manage our ongoing business, and provide an efficient service to you. 

​

  • The data is securely stored and only shared by the owners of Pilates Encounter, or when required by the law in compliance with provisions of GDPR. We do not share personal data with any third party.

​

Data retention

 

  • Unless a longer retention period is required by law, we will only hold your data on our systems for the period necessary to fulfil the purposes outlined in this privacy policy, or until you request that the data be deleted.

​

Your right to your personal data

 

  • You have a legal right to access all personal information held by us relating to you, and can request that all information relating to you is removed at any time.
